Create & Configure the Room

The host (Facilitator/Team Lead) creates a Strategy Room using the 5-step wizard. The room is configured before anyone joins โ€” so the session starts with structure, not setup.

  • โ†’Choose onboarding questions members will answer when they join (position, department, employee number, etc.)
  • โ†’Set a welcome message and optional session key for secure access
  • โ†’Pick from 5 pre-built templates: QBR, Roadmap, Retro, Risk Review, or OKR Planning

Members Join & Onboard

Team members join using the room code. Before reaching the canvas, each member completes a short onboarding that gives the facilitator the context they need โ€” no pre-meeting forms required.

Phase 1 โ€” Frame

The host sets the stage. The team aligns on what problem they're solving, what's in scope, and what success looks like before a single idea is submitted.

  • โ†’Host publishes the Actionable Purpose Directive (APD) โ€” the session's north star
  • โ†’Optional thinking frameworks: SWOT Analysis, PESTLE Scan, or Issue Tree to structure the challenge
  • โ†’Timer controls (1โ€“60 min) keep the phase on track
  • โ†’Host can broadcast pinned messages to the whole room at any time

Phase 2 โ€” Ideate

Every team member submits their ideas, observations, and proposals as nodes on the shared canvas โ€” simultaneously, without waiting to speak.

  • โ†’Node types: Problem, Solution, or Concept (labels customisable per room)
  • โ†’Assign each node to a strategic pillar or group (colour-coded on canvas)
  • โ†’Add an extended description or tag an impact level (High / Medium / Standard)
  • โ†’Duplicate detection alerts warn when a headline already exists in the room or across the org

Phase 3 โ€” Cluster

The team draws connections between ideas to reveal dependencies, tensions, and thematic clusters. This is what turns a list of ideas into a strategic picture.

  • โ†’Connect Mode: draw directional relationships between any two nodes
  • โ†’Relationship types: CAUSES, ADDRESSED_BY, REDUCES, BUILDS ON, OVERLAPS WITH, or custom types
  • โ†’Type Connection Rules let the host restrict which node types can link โ€” enforcing the org's taxonomy
  • โ†’The live graph layout updates in real time for all members

Phase 4 โ€” Vote

Members endorse the proposals they believe matter most. The strongest signals rise to the top โ€” without anyone moderating or filtering.

  • โ†’One endorsement per node per member โ€” keeps signal quality high
  • โ†’Anonymous or attributed endorsements (member's choice, within the host's anonymity setting)
  • โ†’Blind mode: endorsement counts hidden until the host reveals โ€” prevents bandwagon bias
  • โ†’KPI Dashboard shows live participation rate, contribution balance, and endorsement distribution

Phase 5 โ€” Plan

The session closes with accountability. The host logs decisions, assigns action items, and files the session output โ€” all from inside the same room.

  • โ†’Action Items: assign tasks with owners, due dates, and priority levels before anyone leaves
